Quotation+ Work Process
The Work process is written upon the assumption that all the base settings and setup has been done.
This is includes Quotation Templates, Quotation Types as well as Data+ modules' Products and Documents (PDF templates).
Step one: Creation of the first quotation:
You have received an inquiry for a project. So you go out and have a meeting with them to determine the scope of the project.
After the meeting you create a new quotation in the Microbizz system.
You add all the estimated expenses as product lines and you upload relevant documents into the files folder.
When you are happy with the details on the quotation you click the PDF icon and download it, to preview that everything looks correct to be sent out.
You click sent and wait for the customer to reach out with their response.
Step two: If the customer declines the quotation:
Assuming the customer gave some feedback and requested changes to the quotation:
-You create a new revision
-You edit products and files – potentially having to add discounts in the data+ module.
-You press recalculate and check the PDF if its correct and sent it to the customer once again.
This step can be repeated as many times as is necessary.
Note: You can always see and select old revisions for comparison, but you will no longer be able to edit them. Only the newest revision is active and can be modified.
Step three: Mark won or lost
If in the end, you were unable to land the project, you mark the quotation as lost and fill out a questionnaire with feedback and reasoning for why the project was lost.
If the customer ends up approving of one of your revisions, you mark it Won and get two options, depending how you work process is.
-If you use Microbizz Tasks, it makes sense to select the option to create a task based on the quotation. You then follow the normal work process for completion of a task.
-If you don’t use Microbizz Tasks, or simply prefer/needs payment up front you get the option to directly create an invoice. The invoice is created in the Microbizz Invoices module and can then be sent to the customer from this module.
