Competences allows you to register and manage your employees´ employees' professionel competences, such as certifications or certain courses attended. Competences for example can be For instance, competences could be "Forklift certified" if you work with moving material in warehouses, or "Security clearance" if you work with clients that require employees to be security cleared before working at their sites. 

These competences can be attached to tasks, companies or equipment in Microbizz. This serves to avoid the planning or allocation of tasks to employees without the required competences, thus ensuring compliance and quality.

Click on the USER MODULE icon - and choose SETTINGS > COMPETENCES in the top menu.

Create new competence

Click on the USER MODULE icon - the User module and choose SETTINGS > COMPETENCES in the top menu - click the NEW COMPETENCE button.

The Module dropdown menu provides three possibilities, which indicates where the competence is relevant. These are: 

  • User - Competence is related to tasks

  • Equipment - Competence is related to equipment

  • CRM - Competence is related to companies

This determines where you indicate the competence is relevant. Below is a description of how competences are handled in the different modules.

Creating new competences connected to user will requre following:

Give the competence a title, if you wish to assign a category you can do so, it´s not required. Choose Enable/disable type unless you wish to create multilevels. Choose the user module.

Task 
When assigning a required competence to a task, this prohibits the planning of task through the planning tool to employees without the competence. You can also provide the user with a warning of potentiel unskilled planning instead. See the section on "Allowing unskilled planning".

CRM 
This does not do anything.

Equipment
This does not do anything. 

Allowing unskilled planning

Click on the PLANNING icon - and choose  SETTINGS > GENERAL in the top menu,

Choose USERS > COMPETENCES to view a list of all the users that have competence(s) assigned.

Assign competences for users

When you create/edit a user, simply (1) check the competences box(es) and/or (2) choose a level of expertise from the drop-down box, to attach them to him or her. For more on competences, please refer to the competences settings.

Assign competences to tasks, companies and/or equipment

Competences are assigned to tasks, companies and/or equipment when creating or editing these. When creating or editing these objects, find the competences list and select at least one competence required to work with the task, company and/or equipment. For more on competences, please refer to the competences settings.

Allowing unskilled planning

Click on the Planning module, choose  SETTINGS > GENERAL, and choose the ADDITIONAL tab to the left. Under

  • check mark: Unskilled planning.

 you have the following option

  • Unskilled planning: When this setting is on, it is still possible to plan

  • tasks to users, and Microbizz will simply produce a warning pop up to warn users

Using competences in daily work

View competences of existing users
Click on the USER MODULE icon - choose USERS > COMPETENCES in the top menu.

Assign competences to existing users

  • Click on the USER MODULE icon - choose USERS > COMPETENCES in the top menu.

  • When the user list is displayed: Click on the NAME of the specific user you wish to assign competences too.

  • Click the EDIT button on the user page of the specific user

  • Assign relevant competences - remember to save.

If you know which user you wish to assign competences to, instead of using the competence list, you can simply search for the user you wish to assign competences to: Search for user, select and edit user.

Competences when creating a new user

When you create a new user, simple check mark the compenteces boxes on the create new user page.
